DEKRA's Whistleblowing System

DEKRA has a whistleblowing system provided by Whistleblower Software ApS and managed with the help of Setterwalls Advokatbyrå AB ("Setterwalls"). Within the whistleblowing system, there is a separate whistleblowing channel for each Swedish group company within DEKRA. 


Below is a brief description of how reporting via the whistleblowing system works. Who can report?
The whi
stleblowing system may be used by anyone, such as employees, contractors, trainees, consultants and others, at DEKRA. You shall have acquired the information you would like to report in the context of your work-related activities. 
 
 How can a report be submitted?
A report can be submitted through the whistleblowing system in three different ways:


  1. In writing: The whistleblowing system has a form that can be filled in to report misconduct.

  2. Orally: In the whistleblowing system there is an opportunity to record a message which allows oral reporting of misconduct.

  3. Orally by means of a physical or digital meeting: Upon request, reporting can take place at a physical or digital meeting.


In the whistleblowing system, you can choose which group company your report concerns, by selecting the relevant company in the drop-down menu under the heading "Select departments associated with the occurrence" when creating a report. If you have accessed the whistleblowing system by using a company specific link you will not be able to select company, since the relevant DEKRA company has already been preselected.
 
 Is it possible to remain anonymous?

 In the case of written reporting and oral reporting, you can choose to remain anonymous.  However, we encourage you to identify yourself when reporting, as this may facilitate the investigation of your report. Whether you choose to remain anonymous or not, we will make every effort to keep your identity strictly confidential. All data in the whistleblowing service is encrypted and password protected, with access only by specific people at Setterwalls and DEKRA. When a report is submitted via the form, you will receive personal login information to the service that enables you to read follow-up questions, answers or feedback. If you have chosen to remain anonymous, you can do so with continued anonymity.
 

What kind of misconduct can be reported?
Through the whistleblowing system, you can report misconduct within DEKRA that you have received in a work-related context. Examples of such misconduct that can be reported are misconduct concerning:



There should be a public interest of discolsing the reported misconduct. Any misconduct relating only to your work situation or your terms of employment should therefore, as a general rule, be raised through DEKRA's other channels, for example by reporting to the immediate manager or your manager's manager or to HR. Reporting shall be done in good faith. You shall, to the best of your ability and knowledge, ensure that the information included in the report is as accurate and complete as possible. 
 
Confirmation and feedback
You will receive a confirmation that the report has been received within 7 days. You will then receive feedback on the actions taken as a result of the report within 3 months of confirmation of receipt of the report.
 
Handling of the report
The report will be handled in accordance with DEKRA's internal procedures. Setterwalls has been engaged as an external party to evaluate reports at an initial stage. When deemed appropriate, the report will be delegated to designated persons within DEKRA for processing. The report will then be investigated by Setterwalls and/or DEKRA. The investigation will take place as quickly as possible and in a confidential, fair and impartial manner.
 

Prohibition against retaliation
If you report in good faith, i.e. with good intentions and with a belief that what you are reporting is true, DEKRA will not take any reprisals (i.e. any form of punishment) against you, no matter what the outcome of the investigation will be.
